Mancan is searching for an Administrative Assistant to join a reputable steel manufacturer in the Cambridge area. This dynamic role involves close collaboration with multiple departments, including Material Handling, Procurement, Finance, Project Management, and Fabrication, ensuring smooth operational processes. Key Responsibilities:
- Assist with steel receiving processes in the company’s software system, ensuring proper documentation and approval on Bills of Lading (backup role).
- Record material processing, complete project certification documentation, and conduct job audits.
- Coordinate cycle counts to maintain inventory accuracy and provide recommendations for process improvements.
- Collaborate with shop associates to maintain accurate records and streamline inventory tracking and receiving workflows.
- Analyze and enhance inventory and quality control processes to support the company’s cost-of-quality standards.
- Prepare regular inventory roll-forward schedules and maintain detailed stock material records.
- Import documentation from the inventory system to the accounting system and ensure proper file management, including electronic filing.
- Conduct audits to identify material usage variances and notify responsible departments.
- Support purchasing activities, including material procurement and vendor coordination.
- Assist Project Managers with daily work plan reviews, scheduling project meetings, and providing project analysis.
- Provide administrative support, including vendor contracting, document workflow management, and maintaining schedule reports.
- Partner with internal teams and external vendors/subcontractors to foster collaboration and problem-solving.
- Undertake additional tasks and projects as assigned by the management team.
Qualifications:
- College degree, relevant coursework, or equivalent professional experience preferred.
- Proficient in Microsoft Office Suite, especially Excel; experience with Adobe Pro is a plus.
- Exceptional organizational skills and attention to detail.
- Strong interpersonal and communication skills.
- Ability to work efficiently under tight deadlines in a fast-paced environment.
- Proactive mindset with a focus on process improvement and initiative.
The successful candidate will demonstrate a customer-focused approach (internal and external), embrace process improvement methodologies, and make data-driven decisions while adapting to a fast-paced work environment.
Work Environment:
- General office setting with occasional interaction and problem-solving on the shop floor or at project sites.
- Light lifting may be required.
- Office hours: Monday to Friday, 7:00 AM – 4:00 PM.
- Rate of pay: $19.00 to start.
